“When in doubt, give ‘em Publix chocolate chip cookies!”

Light snacks, heavy food, beverages and a chocolate fountain, I have seen them all. My favorite? Pinwheels, man those are good.  Homecoming dances usually draw a hungrier crowd than prom due to the meaning of the night.  I know that kids won’t eat cookies all night something heavier may be needed. The food tends to round out the event. If you have worked a dance before you know kids will mow down some food.  It’s always the smallest freshmen that are about to hit that growth spurt at the table packing it away. Mix it up, have plenty but don’t waste.  Also having plenty of water is a must. Once that deejay gets crankin’ and those kids get to sweating you will need the hydration just from a safety perspective.

A deejay has the hardest job. It isn’t easy pleasing a crowd of kids.  Yet, the best do it with an ease that is amazing.  Find that person and respect their developed talent. Always hire a talented deejay.  Anyone can play music and crossfade but a deejay worth good cash is an artist that your students will enjoy.   Their portfolio of mixes should be available for you to hear.  They should have recent samples also. There is nothing worse than a deejay that stops practicing because of too much work. Even professional athletes need an off season.  Find the person that will be the centerpiece to your event and isn’t afraid to “rock the crowd.”

“A great theme isn’t too costly but a terrible on is!”

The theme is a yearly choice that seems to cost more than it impresses. What will people see and feel as they walk in to the event? What do you want them to feel as the enjoy the event? There is a ton of paper and plastic waste when it comes to creating the right theme, think about recycling.  Try to use themes that will create very little waste or excess. You will save big.  It may be better to have a service help create the theme with a lightshow or video screens than a lot of paper products.  With so many options for lights any room can be transformed with colors and black or white drapes.

“Beautiful locations are always a wonderful thing, but locations create lasting memories are even better”

Venues can eat up most of your budget so choose wisely.  It may be better to enjoy a less expensive place that serves all of your needs than a more expensive place where you needs are met but you have to give up the extra gifts that can go to your ticket buyers.  Think safety, fun, and cost.  I have witnessed schools that can turn a gym into a wonderland for ¼ of the cost of a hotel or resort.  Use some of the extra money on some lasting memento and the other to improve the school.

The committee has to represent all the students that may attend the event and get them excited about coming to the latest planned dance.  A good committee leaves their bias at the door and allows for the group to take into account every student.  The goal should be to serve every student not please every student.  Serving every student includes making sure that the event has plenty of elements that a high percentage of ticket buyers will enjoy.  The big job of the committee is to help students feel connected to the school. Get out there and connect to your student body.  Find volunteers that can bring a fresh perspective to the event. Enjoy creating a wonderful event for your fellow students.

Planning a School Dance http://schoolimages.fireflyeventphotography.com/blog/2013/8/planning-a-school-dance Every high school dance comes down to some simple basics.  Though there are many variables of fanciness, everyone still has some basic elements to their dance.  Our following list contains the main aspects we share with our clients.  Results are different but when we work with school sponsors we always discuss the following.

  1. Results Desired: This area is rarely addressed.  Simply put, if you spend the time to plan and execute this event what do you want for your efforts?
  2. Budget: Are you breaking even or trying to raise funds?  Your ticket price should reflect your goals.
  3. Location: From the gym to the fancy resort there are many places that can host your event.  What is your choice and what can your budget purchase?
  4. Theme:  At the end of the event decorations end up in the trash. So try to recycle and save money on some of the bells and whistles.
  5. Music:  Find a DJ that can relate to your students musical tastes, not yours.
  6. Photographs:  Once the event is over this is all that is left. Don’t go cheap in this area. www.fireflyepe.com for more info.
  7. Refreshments: In other words, food. These are high school kids so you better have plenty.  Also have plenty of water available for when they are finished dancing.

“Sweaty from dancing, full from eating, and jaw hurting from smiling. If you see these three things then no words are necessary!”

The best compliment we received as a company was in our follow up review with the dance committee a student said “man my legs still hurt from all of that dancing.” That is what you want to hear.  Compliments don’t have to be “thank you” they can be a really sweaty group of kids heading home for the night laughing it up.  Watch the mannerisms of your attendees.  Can you see the fun on their faces?  Can you hear the excitement once back at school on Monday? Student Focused Photo Shoot http://schoolimages.fireflyeventphotography.com/blog/2013/8/student-focused-photo-shoot This year (2013 - 2014) we are shining a light on some of the wonderful students we meet when we work with schools during the homecoming and prom season.  Firefly Event Photography & Entertainment, LLC will be creating its sample images with real students in a special photo shoot.

Our diverse group (up to 10) of selected students will get to write about why they love the event (homecoming, prom or graduation) and why they like the experience with our product.  These students will be representative of all that is good with Florida high schools.

We are in the early stages of developing this project but the shoot date will be around November 15-20th.  The shoot will take a few hours and will include snacks.  Parent permission is required.  .  This isn’t a shoot for young professional models.  We are looking for real, fashionable, energetic, and spirited students to fill the pages of our sample booklet.  No monetary compensation will be given. Must be a high school senior and 17 or older at the time of shoot with parent permission. Parents are welcome to come to the shoot provided they follow photographer’s guidelines.

We will have more information as we speak with more event sponsors at area high schools.

We will develop a custom online portfolio to house your school’s event images that we capture.  This portfolio will share some school history and will be developed in your school’s colors.  You may submit an image for mascot or we can come to your school and take some for the slideshow that will be highlighted on your page.  The design is to provide an exclusively custom location for your school's images and have them maintained by our professional staff as industry standards changed.
  2. This portfolio helps eliminate social media traffic and just focuses on your school.  This is the most direct way for your students to enjoy their images.
  3. Your school’s portfolio will be exclusive and will have a direct link to it instead of just a gallery link.
  4. Online portfolio will function just like our main website and will include unlimited viewing, sharing, and downloading.

Why Homecoming Ticket Sales Are Bad (and How to Improve Them) http://schoolimages.fireflyeventphotography.com/blog/2013/7/why-homecoming-ticket-sales-are-bad-and-how-to-improve-them Why Ticket Sales are Bad (and how to improve the homecoming dance at your school)

As we head toward those months of September – November our company recognizes that the homecoming dance season is very important for us to get a great jump on the school year.  Year after year we run into a schools that use the economy as the reason that their homecoming dance sales are low.  After fielding many questions and working with a few schools I have found 5 keys that cause this issue.

  1. No Student Love

Homecoming is during a time where the football team is playing, the school year is new, and there is still optimism for a fun year. Slow sales mean that your school has squelched those positive thoughts. It isn’t the recession. Kids don’t know anything about recessions, in fact kids still get stuff they want even when parents are struggling. Kids still spend money and will spend on something they feel is worthwhile. There is your issue. How to make your dance be a worthwhile cause for students to spend money.  Do two things different this year. If you are making signs have people hand out personal invites as students leave the school for the day. A black and white copy print duplicated four times, and cut into squares is a cheap way to put info into the hands of your buyers.  Don't promise, show! Have the companies you want to work with come into your school and sell you on their services. Then have them do something to sell the students.

  1. Doing Things Cheaply:

Nothing worse than a cheap DJ. Nothing worse than cheap decorations. Now you don’t have to book the largest hotel room just because but you do have to make the place look like it was worth the money. Stop paying for $500 DJs. Pay a person good money so they will care. If I was a $500 DJ there would be no way I would update my music for you, allow requests, or visit your school three times before the event. Remember paying a person minimally for their talent helps them make a living but paying them what they are worth allows them to make an experience for you.

  1. The Sponsor is Behind the Times. 

Nothing worse than trying to share a new product with people that have been doing the event at the school since the 90’s. Most of the time there is a rubber stamp that comes with planning an event.  With the use of technology a DJ can take requests faster.  We are an event photography company and we deliver more images than anyone and faster, why? Technology.  If you are still getting the photography company that does presale or always has long lines, they are behind the times (this is where you check out our company Firefly Event Photography & Entertainment www.fireflyepe.com to see how we do modern photography). If your DJ doesn’t use subwoofers, and …well you get the picture.  Move forward and find the companies that are delivering a more modern bang for the buck.

  1. Your Committee Has Issues:

At times we get to experience the school dance committee that is creating the “us” dance.  You know, they are planning the dance for the eight kids that are on the committee.  Well, there are a large group of buyers that dislike those kids and will take their money to the food court over your dance.  We take the time to visit the school and committee many times to make sure of ELE (everyone loving everyone).  The committee is there to share the love not absorb it for themselves. Plan a dance that has something for everyone.  At Firefly, our focus is all students and we only work with school committees that understand that. We had to start saying no to those committees that were making the dance all about their needs and wants without consideration for the entire group of attendees.  Not saying you can please everyone but there are good ways to connect with all groups.

  1. You are afraid to raise your ticket prices $15. 

I try to give a quick business 101 and help schools understand that all the things kids buy cost money.  Just check out the shoes and shirts they are wearing. Yeah, Nike may have an outlet but if you want the new hotness , it ain’t at the outlet. From my understanding the HC dance is designed at some schools to make money. Well, after you pay everyone you need to have some cash left. Start there, pay yourself first. How much do you want in the coffers after all of your hard work?  In order to get the coffers up to that level you have to throw one hell of a show. Hell of a shows cost money but will deliver the best financial gain.

You have to go crazy and love throwing parties to make a real profit on these dances. It seems as if some schools have forgotten that these things are very important to the kids but kids are finicky.  Deliver a dance where they get more bang for their buck and leave a sweaty mess from dancing all night and you will have a larger return group the next year.

Three Tips for Photographing Couples at Events http://schoolimages.fireflyeventphotography.com/blog/2013/7/three-tips-for-photographing-couples-at-events Event photography is a great way for some photographers (that like a mass of people and loud music) to make some extra cash shooting events.  These events can range from a black tie affair to a day seminar but people need good photography after their event (not weddings).  My company is a high volume event photography company focusing on homecomings, proms, school events and graduations.  We deliver all images within 4 hours after the event.  It takes a team of trusted photographers but we deliver the goods.  Now, without a team the single photographer can use these three tips to shoot local events and expand your business.  Here is what we learned, hope they help you.

  1. Couples will be diverse in skin tone at many affairs you attend. How do you keep an even tone across the image with one being too dark and the other too light? 

ANSWER: Most of the time photographers will use a bracket that moves the light to the top position no matter what position the camera is in. This still won’t fix the issue. Keep your flash in position and turn it to portrait position making sure the flash is on the darker toned person. They will get the most light and the lighter person wont. BAM! Solved.

 

  1. The place is dark and my flash is causing squinting, forehead blowouts, and temporary blindness.

ANSWER: First, you may be too close to your subject, give them a good five feet. This is enough room for distance, a nice shot and for others to know you are shooting “this couple” and you shouldn’t walk through our middle ground. Second, a plastic diffuse cap (or strap a white napkin on with a rubber band). This will make the flash less blinding and will soften the light. Third, crank up the power on that flash a bit and point it to the ceiling. A lot of events we do have high ceiling so we bounce at full power and keep the fresh batteries ready. If these fail go see the person that controls the light and tell them your issue. They may be able to bring the lights up a bit without disturbing the mood.

 

  1. He is 6’4” and she is 5’2” (or the other way around).

ANSWER: Get them while they are BOTH sitting. Once the dishes are clear a nice shot of people sitting is a changeup. You will have to squat a bit but when they are sitting they are more in proportion. Never have the taller sit while the shorter stands, talk about making a person feel smaller than they really are. If they are a few inches off and want to stand I usually split the different in the lens for a crop (waist up shot) then take another full length click.

The high school homecoming is a great tradition in America. It aligns itself with the game of football and a week of celebrating the school and the students.  After the game is played and the king and queen are announced it’s time to boogie on down at the dance.

These are iconic moments for a high school student. It is a night where you get to be in a club type setting and enjoy music and moments with friends.  But before all of this happens there is a committee that plans such an event and has to decide everything from theme to refreshments.  How does a group deliver the best for their student body?  It starts with atmosphere.  Not the atmosphere of the dance but atmosphere of the school.  Is the school’s student body one that will enjoy the efforts of the committee or will they think the ticket price wasn’t worth it.  There are three things I work to encourage committees to think about.

  1. The diversity of students that will attend.
  2. The music.
  3. The memories after the dance.

Let’s take the first issue. Is your school diverse? Are there many different cultures at your school that have a strong voice? If so you may want to consider a DJ that can play something that connects to those groups. It doesn’t have to be all night but a set of three songs is always helpful.

Diversity is also socioeconomic.  You will have many students that struggle to pay the $45 fee to the dance so you need to consider getting more bang for your buck.  With our company Firefly Event Photography & Entertainment we focus on school events to help capture hundreds of images without charging huge prices. The Memories: These are great times that most will want to look back on in 10 – 20 years.  What is the student body doing to capture those memories?  Work to figure out ways make sure the event is memorable. Don’t worry about pleasing everyone just focus on delivering excellent results.

It’s all about the experience. High school is four short years where student will grow tremendously.  Always take the opportunity to deliver a great experience that student will remember for years to come.

Results Typical http://schoolimages.fireflyeventphotography.com/blog/2013/6/results-typical Why should we use you? I love this question I get from school event sponsors. I then get to tell them about our product and what we are working to do for kids at the high school level.  I have a feeling this question relates to our product being too good to be true.  That’s funny because isn’t that the way things should be?
